TRANSFERRING MATERIALS TO THE ARCHIVES

So you have materials that you think might belong in the archives, but you're not sure how to go about transferring them over. Never fear! This guide will explain the process.

ASSESS YOUR MATERIALS

If you're not sure whether your materials belong in the archives, there are several resources to check. You can take a look at our collection policy, or download the faculty and staff checklist and use it as you go through your files. If you're still not sure, or you have something that seems a bit off the beaten path, then proceed directly to the next step. 

 

CONTACT THE ARCHIVIST

Email the archivist to set up a consultation. The archivist will meet with you to discuss which materials to send over and to outline the process of sending materials. This meeting also allows the archivist to ask contextualizing questions about the materials. 

 

SEND THE MATERIALS

Once you've received the go-ahead from the archivist, put the relevant physical materials in a manila folder or a box and send them via turtle mail to the archives. These folders and boxes should be clearly labeled with your name and the date of transfer. If convenient, there may also be a broad list of contents in the box itself. For digital materials, you will receive guidance from the archivist on the best way to transfer them, as well as the preferred file types for preservation.

CONFIRMATION

The archivist will confirm with you when the materials are received, and may follow up with further contextualizing questions about the materials. Thank you for transferring materials to the archives and helping document BB&N's history!
